Mapping products with different quantities or Unit of Measure

Explore how to map Shopify and QuickBooks products within MyWorks that have different quantities or UoM between Shopify and QuickBooks Desktop

Overview

When MyWorks syncs an order from Shopify to QuickBooks Desktop by default; the quantity purchased in the Shopify order line item would be the quantity used in the QuickBooks Desktop order. However, in some cases, the type of product sold in Shopify might not match the quantity you need used in QuickBooks: for example, if you're selling a “pack of 2” or a “case of 12” in Shopify as a single Shopify product/variation. 

In cases like this, MyWorks includes the ability to set a different QuickBooks quantity to be used in a QuickBooks order when a single Shopify product/variation is sold; if it's not a 1:1 match between Shopify and QuickBooks.

MyWorks also supports the ability to set a specific QuickBooks Unit of Measure name for different Shopify products/variations - if Unit of Measure is enabled in your QuickBooks company. 

In this doc, we share how to easily enable this in MyWorks - whether you're just needing to set a different QuickBooks quantity to be used in orders, or also need to set a UoM value.   

Setup

This feature can be easily enabled in MyWorks Sync > Settings > Product, as shown below. Once enabled, simply visit MyWorks Sync > Map > Products / Variations to set the UoM and/or Quantity fields as shown in the below examples.

Setting a different QuickBooks quantity

If Unit of Measure is not enabled/used in your QuickBooks company, you can still easily set a different QuickBooks quantity to be used when a single quantity of a specific Shopify product or variation is ordered - as we create the order in QuickBooks. 

Visit MyWorks Sync > Map > Products / Variations; and you can enter a desired QuickBooks quantity for any product, as shown in the below example. The quantity of “1” is assumed by default, so this can be left empty for products/variations where a quantity of 1 ordered in Shopify should be a quantity of 1 in the QuickBooks order. 

The below example shows how this can be set - specifying a QuickBooks quantity that is then used for the QuickBooks quantity field in the Shopify order we sync.   

When using Unit of Measure in QuickBooks

If Unit of Measure is being used in your QuickBooks company, you can also set a specific UoM name for different Shopify products/variations - to be used in the order we create in QuickBooks.

As shown in the examples below:

  • The UoM “Name” entered in our mappings should match the “Name” of the Unit of Measurement in QuickBooks, not the abbreviation.
  • The “QuickBooks Quantity” entered in our mappings should match the “# of EA” quantity for that Unit of Measurement in QuickBooks.
